Overview

A fast-growing service organization came to That Guy Sketch seeking a digital solution to empower their administrators and back-office staff. The existing system was cumbersome, causing delays, frustration, and duplication of effort. We re-imagined their internal admin platform to create a streamlined, user-friendly experience built to scale—giving admins the tools they need to manage operations efficiently and with confidence.

The Challenge

The organization’s internal admin experience had multiple issues:

  • Complex, hard-to-navigate interfaces

  • Time-consuming manual workflows and redundant data entry

  • Lack of visibility into task status, approvals, and metrics

  • Low user adoption and high frustration among staff

  • Risk of errors and employee churn because tools didn’t support productivity

The goal: deliver a UX that supports admin workflows, reduces friction, and fosters operational excellence.

Our Approach

User Research & Workflow Mapping

We interviewed administrators, operations managers, and support teams to document key pain points and workflows—identifying where time was lost and how staff sought to work instead. This informed the foundation of our platform redesign.

UX Strategy & System Design

We created a design framework focused on clarity, speed, and context:

  • Dashboard layout to show active tasks, alerts, and metrics

  • Modular card views for individual admin functions (approvals, data entry, reporting)

  • Fast search and filter tools to locate records and manage workflows

  • Accessible micro-interactions and visual cues to guide users

We aligned the system with their brand and internal standards to ensure adoption and consistency.

Prototype & Validation

High-fidelity prototypes in Figma were tested with staff through interactive walkthroughs. Based on feedback we refined:

  • Approval flows to reduce three-step processes down to one-step

  • Data-entry templates to delete redundant fields

  • Tagging and notifications so admin users always know what’s active

By validating early, we ensured a smoother development phase and higher confidence in launch.

Handoff & Implementation Planning

We delivered:

  • UX specifications and developer handoff kit

  • Documentation on user roles, workflows, and permissions

  • Launch readiness metrics and user-training recommendations

  • Phase-two roadmap for enhanced reporting and analytics
